How we work

Our process in 4 steps

  1. No-obligation quote

Send us the document you want translated into Polish. You receive a competitive quote within 1 hour on working days. Short lines, one dedicated project manager who is there for you.

  2. Assigning a translator

One of our specialist Polish translators gets to work. For certified translations, a professional translator who issues a certified statement of accuracy; for business, technical, legal or medical texts, a specialist from that field.

  3. Translation, QA and revision

Once the experienced Polish translator has completed the text, a second specialist carries out a thorough quality check and revision.

  4. Delivery

You receive the Polish translation digitally by email, in the same layout as the original. Certified translations are also sent by registered post where a hard copy is required.

Certified or standard? How to choose the right Polish translation

  • Choose certified

When an authority requires an official, certified translation: the Home Office, courts, notaries, registrars or a foreign government. Escalated to notarisation or FCDO apostille where needed.

  • Choose standard

For business publication, websites, marketing and internal documentation. Faster and without certification, with the same specialist translator.

Not sure? Send your document and we will advise which form the receiving authority expects.

Variants

Regional varieties of Polish we translate

  • Standard Polish (pl‑PL)

the Ecrivus default, aligned with the RJP norm

  • Silesian (separate language code `szl`)

we never substitute this automatically for a Polish request

  • Kashubian (`csb`)

a recognised minority language of Pomerania with its own ISO code, not a dialect of Polish

  • Regional spoken varieties (Lesser Poland, Greater Poland, Masovian)

the written standard and orthography remain uniform

We confirm the right variant per assignment based on your target country and audience.

Variant-keuze

Which variety of Polish fits your audience best?

  • Standard Polish (pl-PL)

    • All official, legal and business documents — the RJP norm
    • Employment contracts, certificates, company extracts and EU procedures
  • Silesian (szl) and Kashubian (csb)

    • Separate languages with their own ISO codes, not dialects of Polish
    • We treat a request for szl/csb as a separate assignment and never substitute Standard Polish automatically

DIY or machine translation?

What non-native translators and machine translation miss in Polish

Many teams speak good Polish and AI tools translate in seconds. Yet in business, legal and medical Polish texts, non-native translators and machine translation make the kind of mistakes that cost you credibility or legal validity. A few examples we prevent:

  • Diacritics that drop out

    Voorbeeld:

Without the marks ł, ż, ś or ó the meaning shifts: "laska" (a stick) versus "łaska" (mercy), or "los" versus "łoś" (an elk). A truncated diacritic can make a name or a legal term unusable.

    Onze aanpak:

We deliver in Unicode UTF-8 with the full diacritic set and check at DTP stage that the font stack renders every Polish glyph without clipping.

  • Cases and word order

    Voorbeeld:

Polish has seven grammatical cases; a name or job title inflects with them. Word order carried straight across from English reads as stilted and at times plainly wrong.

    Onze aanpak:

A native translator rewrites for correct inflection and natural Polish word order, fitting the register your reader expects.

  • False friends EN–PL

    Voorbeeld:

"Sklep" means shop, not cellar. "Dywan" is a carpet, not a divan. "Ekstra" means great, not extra. Such false cognates slip easily into a rushed translation.

    Onze aanpak:

We keep a terminology list per assignment and check known EN–PL pitfalls at review.

  • False legal equivalence

    Voorbeeld:

A UK "limited company" is not automatically a Polish "sp. z o.o.", and a DBS certificate has no one-to-one Polish equivalent — the legal instrument differs from system to system.

    Onze aanpak:

Per assignment we match company forms, job titles and deed terms to the Polish legal system, working with your legal adviser where needed.

Wereldwijde dekking

Waar Polish wordt gesproken

Polish is far from an abstract foreign language in the UK; it is the working language of one of the largest migrant communities in the country. A staffing contract for a Polish construction worker calls for different terminology than a birth certificate for a family visa or a CMR note for international haulage. We match terminology and register to the purpose of the document and confirm that choice up front in the quote. The orthography always follows the RJP standard, with the full set of diacritics preserved.

Which variant of Polish does Ecrivus deliver by default?
We deliver Standard Polish (pl-PL), to the norm of the Rada Języka Polskiego in Warsaw. Regional spoken varieties (Lesser Poland, Greater Poland, Masovian) do not affect the written language. Silesian (`szl`) and Kashubian (`csb`) are separate languages with their own ISO codes; we never substitute them automatically, and a request for either is handled as a separate assignment.
Does the UK have sworn translators, and how do you certify a Polish translation?
The UK has no sworn-translator institute, so there is no "sworn translator" as a legal office here. For official acceptance we provide certified translation: a signed and dated statement of accuracy from the translator or the agency, with our contact details. Where a body asks for more, this can be escalated to notarisation by a solicitor or notary public, or to an apostille or legalisation through the Foreign, Commonwealth and Development Office (FCDO). We confirm in the quote which level your receiving authority requires.
How does Ecrivus handle the Polish diacritics in DTP and export files?
We deliver Polish translations in Unicode UTF-8 with the full diacritic set (ą ć ę ł ń ó ś ź ż). For InDesign, Word and PDF output we use font stacks that support every Polish glyph. At print-DTP stage we check up front that the source design does not visually clip the diacritics, because a missing mark can change the meaning of a name or a legal term.
Does a Polish document need an apostille for use in the UK?
Official Polish documents are legalised through an apostille; Poland has been a party to the Hague Apostille Convention since 2005. This applies to birth and marriage certificates, court judgments and notarial deeds. In Poland the apostille is issued by the Ministry of Foreign Affairs for most documents, while court and notarial papers run through the Ministry of Justice. For a UK-issued document the apostille is obtained from the FCDO; see [GOV.UK — get a document legalised](https://www.gov.uk/get-document-legalised). We guide the correct route per document type.
What document types are most commonly translated into or from Polish?
Common document types include employment and staffing contracts, company and registry extracts, birth and marriage certificates, court papers in cross-border family law, transport and construction documentation, and ecommerce content. UK-specific cases we handle often are Home Office and UKVI immigration documents, university admissions assessed by UK ENIC and HMCTS court documents. We confirm the approach and any certification per document in the quote.
What if I need a legal document translated into Polish?
For legal Polish translation — contracts, articles of association, court papers, EU procedural documents — we pair you with a translator who has a legal background and match terminology to Polish and English-law conventions as the case requires. Our legal-translation page goes deeper into certification, the closing statement of accuracy and the terminology differences between the Polish and UK legal systems. See [legal translation](/en/services/legal-translation/).
Why choose a Polish translation agency instead of finding a freelance translator yourself?
A Polish translation agency takes the coordination off your hands. We select the specialist who fits your document and sector, arrange certification, notarisation or legalisation where an authority requires it, guide the apostille route for Polish certificates, and have the work checked by a second reviewer where the legal field, risk profile or volume requires it. You keep one point of contact for terminology, diacritics, scheduling and delivery, all under a single quote. A skilled freelance translator does excellent work too; the difference an agency adds is bringing those moving parts together so you are not managing them separately. On working days you receive a reply within 1 hour.
